    Covid/Safety Policies:

    [fa icon="plus-square"] Before The Event:
    • INTERNATIONAL TRAVELERS: Please review details of our Business Travel Accident (BTA) insurance.  If you require documentation of coverage for the trip, please email benefits@financialforce.com with the below information:
    • ACTION NEEDED: Per the latest CDC guidelines, we recommend that all employees globally take a home antigen COVID test 24 hours prior to travel.
    • US Employees: If you are enrolled in a FinancialForce medical plan, please visit our Benefits Portal for information on how to get tests reimbursed through your medical plan.  If you are enrolled on a plan not offered by FinancialForce, please reach out to the applicable carrier or external HR department to determine reimbursement instructions.  If you do not have insurance coverage, please see below. 
    • All Employees: If you have no available coverage for a home antigen COVID test through an applicable public health system or insurance and must pay the cost out-of-pocket, please partner with your manager to process a reimbursement.  Please be prepared to present a receipt showing test purchases and out-of-pocket expenses.
    • Test results:
      • If you test positive for COVID, you may not attend the event- please let Clareese Crigler know and she will handle the appropriate cancellations.
      • If you test negative but have a fever (100.3 F or higher), you may not attend the event
      • If you test negative but you have any of these symptoms: fever, severe congestion, sore throat, aches, fatigue, we advise you not to attend the event
      • If you test negative, with no signs of a fever or symptoms, you may travel to the Leadership Summit
    • Employees may work with their ES Business Partner if they feel uncomfortable about attending any of the events
    • International travelers should follow current protocols per the CDC Guidelines

    • There will be a FinancialForce safety and registration desk located in the lobby of the hotel where you can check in at any time
    • At check-in each attendee will receive 4 Covid Tests
    • Each morning before attending events, we ask that each attendee take one of the provided tests and follow the protocols listed below if you are positive.  We are adding this protocol as a highly recommended practice to proactively avoid any large-scale spreading at our in-person events. 
    • Hand sanitizer will be available at various locations throughout the hotel
    [fa icon="plus-square"] Protocols for Positive Test Results:

    Any employee must quarantine (quarantine period based on current CDC guidelines) if they test positive.

    • Attendee or staff will notify our Summit Covid point of contact (Clareese Crigler ccrigler@financialforce.com)
    • Summit point of contact will communicate with the hotel on the following:
      • Extend hotel reservation
      • Notify operating departments that the room is under quarantine

    Note: Under law, the hotel cannot evict a guest for testing positive

    • For FF employees:
      • The cost of extended stay will be covered by FinancialForce 
      • Clareese will communicate/coordinate with employee on:
        • Wellness status
        • Air transportation changes
        • Expenses covered by FinancialForce
        • Meal service delivery 
    • For FF employees traveling internationally to the conference, please be aware that our Business Travel Accident (BTA) insurance covers medical claims in the event you need to seek medical care while on an approved business trip outside your home country, including but not limited to COVID-19 related medical expenses, subject to review and approval of the expense by AIG, the insurance company.  For information on the insurance and submitting a claim, please visit the Business Travel Accident Page.

    Please note that in the event we receive a report of a positive COVID-19 test result for an employee who attended the conference at the conference, or possibly as a result of attending the conference, FinancialForce may have obligations under workplace safety laws to report employee information and incident details to appropriate government or third party entities, such as workers' compensation administrators where applicable. Reach out to Employee Success if you have any questions or concerns around this.

    Travel/Flights:

    [fa icon="plus-square"] Can I come early or extend my trip?
    • No. We do not have any pre-negotiated rated for dates extending beyond the duration of the summit. 
    • If you are travelling internationally, we are permitting you to arrive at the hotel on Sunday September 25th if you are unable to procure a Monday, September 26th flight.
    [fa icon="plus-square"] What are my flight details?
    • You are responsible for booking your own flights. 
    • We recommend booking your fights at least 30 days out.

    [fa icon="plus-square"] Travel Requirements:
    • Check-in will be available on Sunday for executive and international travelers only.
    • All other attendees will arrive on Monday.
    • Local attendees from will not have hotel rooms booked.
    • Based on function/BU breakout on Thursday, attendees will:
      • Leave Thursday for all domestic travelers.
      • Leave Friday for all internationals.
    [fa icon="plus-square"] Are airport transfers provided in Austin?
    • FF will cover the cost of all airport transfers in Austin, but will not be organizing transfers for attendees.   Please use uber/lyft/ or taxis and expense airport transfer costs following the event.
    • Two options below that are recommended to get to/from the hotel.
    • Uber/Lyft: Can only be ordered to designated areas for each terminal (varies); please note that it is usually a longer than average wait time due to Covid but this is still the recommended mode of transport to the hotel.  The average cost is approximately $25-30 depending on time of day.  
    • Exit the terminal at baggage claim and cross the street to the parking garage, take the elevator to the second level and follow the ride share signs for uber/lyft/taxi!  The walk is approximately 6-8 minutes from baggage claim.
    • Taxis - There are taxi stands located at each terminal.    
    • If you are arriving with co-workers we do ask to ride share to the hotel together.

    [fa icon="plus-square"] Do I have to book my own hotel?
    No, for the Leadership Summit's sponsored dates we have booked your room.   Registration confirmations on room assignments will be sent out closer to the event date.
    [fa icon="plus-square"] Will I have my own room?

    Yes, everyone attending will have their own hotel room.

    [fa icon="plus-square"] Will FF cover my flight if I fly to/from somewhere other than home?

    You can choose to fly to/from alternate destinations on the weekend before or after but any additional flight costs will be your responsibility.  FF is covering to/from your home location and that flight cost is your covered budget.  If you choose alternate destinations, anything over that covered budget we ask you to cover

    Costs:

    Travel to and from the event will be billed to your departments as well as your per diem food costs for Monday/Tuesday.
